The categories are determined by the database administrator, but they often are based on the information in the document headers. Selecting an Operator You may change INCLUDES to EXCLUDES by highlighting the field and pressing "E;" change to INCLUDES by pressing "I." You may also display a menu of operators by highlighting the field and pressing RETURN to display a menu. Highlight the appropriate choice and press RETURN again. Moving from Field to Field: The arrow keys move the cursor from field to field. Note that when there are characters typed into an edit box, the LEFT and RIGHT ARROWS also move the cursor within the field. Entering Values into Selection Fields: There are two ways to enter values into fields. The first is to type the value directly into the field. The second is to select a value from a menu. To type into the Selection field, use the arrow keys to position the cursor at the beginning of the edit box, then begin typing. If you make a mistake, press BACKSPACE to erase the character to the left of the cursor. You may also use LEFT and RIGHT ARROW to move the cursor to any point in the edit box. Use DELETE to erase the character at the cursor. To select a value from a select menu, use the arrow keys to position the cursor anywhere in the field, and press RETURN. THREE KINDS OF SEARCHES Topic (TM) allows you to perform word, Boolean, or topic searches. 1. In a word search, you retrieve documents that contain a specific word. 2. In a Boolean search you retrieve documents that contain words and phrases linked by Boolean operators (AND, OR, NOT, PHRASE, SENTENCE, or PARAGRAPH). 3. In a topic search, you retrieve documents that are relevant to "topics," which are clusters of words and phrases representing concepts. The words and topics are related to one another hierarchically in family trees of topics, subtopics, etc. A "topic tree" represents the entire family of ideas and concepts that are embraced by the topic. For more information, see your "Topic User's Guide," Chapter 1, under "Topic Searching" and "Doing a Topic Search." See also Chapter 5, "Creating and Editing Topics." DETERMINING THE RELEVANCE OF A DOCUMENT TO YOUR TOPIC: Topics are more than just combinations of words. They contain knowledge about the relative importance of the subtopics, and how the subtopics should be combined to make up the topic. When you ask for all of the documents relevant to a topic, the system computes the degree to which each document is relevant to your query and sorts the retrieved documents in the order of their relevance. This allows you to examine the most relevant documents first. MANIPULATING RETRIEVED DOCUMENTS: In addition to retrieving documents, Topic allows you copy a document to your local data area and edit it with your favorite text editor. You can copy an entire document or select regions of a document to be copied. You can supplement a document by linking it to notes, to images, or to other documents (see your "Topic User's Guide," Chapter 4, "Using HyperLink"). Scrolling Through the List of Topics: The topics are listed in columns. The Topic Browser displays two columns at a time. The scroll bars on the bottom border of the window show the size of the two columns in the Browser relative to the total number of columns of topics. The scroll bars also show the position of the two columns of topics in the browser relative to the other columns of topics. The topics are ordered alphabetically. As you type characters, the highlight moves forward to the first topic name that matches the characters you have typed. As you type characters, the highlight moves forward to the first word name that matches the characters you have typed. LEFT ARROW moves the left column of words into the right column, and displays a new left column. In effect, it moves the Word Browser window one column to the left. Similarly, RIGHT ARROW moves the Word Browser window one column to the right. HOME and END show the beginning and end of the list of words, respectively. The Stem Browser: The words in the Word Browser are enclosed in double quotes. This means that a retrieval performs a word search, which searches for precisely that string of characters. If you press single-quote ('), the stem list appears. Note that the listed items are enclosed in single quotes. If you do a retrieval you are performing a stem search. Topic looks for not only that word, but for all the variations of the word (past tense, plural, etc.). For example, a word search on "damage" finds only documents with the word "damage"; a stem search on 'damage' finds documents with the words "damage," "damaged," "damaging," and "damages." The Outline Browser and the Topic Browser: To display the Outline Browser or the Topic Browser, press slash (/) to display the Select Browser menu, then select OUTLINE or TOPIC in the menu. The weights and topic operators are not displayed. The purpose of the Topic Viewer is to provide a comprehensive view of the connectivity among topics. Walking the Topic Tree: The arrow keys move the highlight over the topic tree. When you use the keystroke chart above to adjust the diagram, the diagram moves only one pixel at a time, which may be too little to have an effect (this is not true of F and M, which decrease or increase the length of the labels by one character at a time). To move the diagram a given number of pixels, type the number before the command (for example, 50U, to move the diagram up on the screen 50 pixels).
